How Billogram's many features support your business
When you've decided to digitize your processes and customer experiences related to invoicing and payments, where should you start? With Billogram, you not only get access to a payment platform with a variety of smart features. You also get a reliable and knowledgeable partner who helps you plan your digitalization journey so that it supports your business in the best possible way at every step.
Billogram's platform for invoicing and payments has a variety of different features (which we'll tell you more about shortly). But for the features to provide maximum added value for you and your customers, it's important to connect them to your company's overarching strategies and goals regarding, for example, digitalization, customer satisfaction, and upselling.
This may sound complicated, but it's not something you need to figure out on your own. With Billogram, you not only get a SaaS platform but also a strategic partner. This means that you and your colleagues have access to a dedicated customer team with experienced experts who help you develop a long-term sustainable plan based on your circumstances. By jointly setting relevant sub-goals and KPIs, we ensure that our platform contributes to your business goals in the best possible way.
Digitalization with Billogram: the right feature at every step
You don't need to enable all features in the platform right away. A digitalization process with Billogram can rather be described as a classic pyramid that we build up successively in close collaboration.

1. Lay a stable foundation
Billogram's solution is about gathering everything related to invoices and payment flows in one single platform. This streamlines management and provides both your customers and employees with a smoother experience. When you start a collaboration with us, the initial focus is on implementing the platform and ensuring that all necessary features work and are integrated with your existing IT structure. Simply put, it should be easy for your company to get paid and for your customers to pay.
Possible goals at this stage:
Reduced internal administration
Fewer incorrect payments
Shorter response time for customer service (as a result of a reduced number of cases regarding invoices and payments)
Reduced cost to serve
Examples of functionality that supports these goals:
Interactive invoice
The interactive, digital invoice is one of Billogram's most fundamental – and also most appreciated – features. The invoice is updated in real-time if your customer, for example, pays a portion of the invoice amount, as well as if a customer service representative changes the amount or postpones the due date. This gives the customer and your employees in different teams a common, updated view of each payment case. This reduces your customers' need to contact customer service with invoice questions and also enables your customer service representatives to provide faster help to those who do reach out.

Automatisk matchning av kund och faktura
Billogram's platform has smart logic to find any overpayments, underpayments, and incorrect payments so that these can be quickly rectified. The platform also automatically matches the correct payment and customer with the correct invoice.
"The first major effect our customers notice when the platform is launched is that their administration around invoicing is incredibly reduced. Employees in the finance department can spend their time on things other than entering numbers, which they really appreciate."
– Filippa Granting, Business Development Manager
2. Add features that reduce negative customer experiences
The next level in the pyramid is about minimizing negative customer experiences, primarily by various means, reducing the risk of late payments. An important difference between Billogram and other payment solutions on the market is that we do not take over ownership of your claims against your customers. This means we don't earn anything extra if your customers' payments proceed to reminder or debt collection cases. The goal of our service is instead to make it easier for your customers to pay on time. Every case that goes to debt collection is a strongly negative customer experience that increases the risk of churn.

Possible goals at this stage:
Fewer paper invoices
Higher percentage of automatic payments
More effective customer communication
Examples of functionality that supports these goals:
Easy activation of automatic payments
Billogram offers a digital process where your customers can activate automatic payments, such as direct debit, in less than a minute. The customer clicks a link via email, SMS, or their digital invoice (for paper invoices, the link can be placed in a QR code). The customer then identifies themselves with their bank and enters their account. The automatic payment takes effect as early as the same month.

Soft reminders on the due date
A soft reminder, or due date reminder, means that customers who haven't paid yet receive an automated email or SMS in a friendly tone on the same day the invoice is due, with a link where they can pay directly. This "soft" reminder is perceived much more positively than a "hard" reminder when the invoice is already overdue – especially if the delay incurs a fee.
Dynamic distribution
With Billogram, you can set up automated flows that trigger specific actions at different stages. For example, if a customer received their invoice via email but didn't open it, an SMS can be sent to reach the customer. This is an effective way to prevent late payments.
Customer-Friendlier Debt Collection
If late payments still occur, how do you handle them most wisely? Reminder fees and debt collection demands are high-risk factors for customer churn, and should therefore not be used lightly. Our platform enables a more flexible and individually tailored debt collection management, which we call Smart Dunning, with rule-based flows set up according to your company's desired outcomes in different scenarios. Through data-driven insights and machine learning, everything from distribution channels to timing and tone can also be continuously optimized for the best results.
The Invoice as a Communication Channel
Billogram's interactive invoice is not just a convenient tool for your customers and employees to keep track of current payments. It is also an effective channel for two-way communication with your customers. You can embed clickable banners with tips, information, or offers that the customer can act on directly. The customer can also write questions to your customer service directly on the invoice. These questions can be answered by support agents or by an AI chatbot via the Agentic Assist feature.

"A PDF invoice via email is digital, but it's still static. An interactive invoice provides much greater added value because it updates automatically and allows the customer to resolve more things themselves. When the customer writes a message on their invoice, an email is also automatically triggered to customer service. We sometimes enable this functionality at a slightly later stage because our customers don't always have the capacity to immediately add another channel to their support management." – Jenny Treffner, Customer Success Manager
3. Top with positive and personalized customer experiences
When you and your employees use Billogram's platform, you not only streamline your internal processes. The increased degree of digitalization also gradually provides you with more and more data about your customers' behavior and preferences. Customer data comes in handy at the top of the pyramid, which is about refining the customer experience – and increasing upselling – through increased personalization.

Possible goals at this stage:
Higher customer satisfaction (NPS)
Reduced churn
Increased upselling to existing customers
Examples of functionality that supports these goals:
Wider range of payment methods
Today's consumers expect a high degree of choice and flexibility, even when it comes to payments. With Billogram's platform, you can gradually add more payment methods – such as Swish, one-click pay, or card – to offer your customers a complete range. When new payment options appear on the market, we add them to our platform so you can enable them for your customers, without having to spend resources on market monitoring or time-consuming implementations.
Segmented customer communication
Initially, you can use clickable banners on the interactive invoice for general messages to all recipients. As you learn more about which customer groups click on which messages, you can segment the communication based on, for example, age or region.
"The data you get through Billogram's platform helps you understand your customers better. For example, you can discover churn patterns and develop targeted campaigns through integrations with your CRM or Marketing Automation system." – Filippa Granting, Business Development Manager
A platform in constant development
You've now had a taste of existing features in Billogram's platform and how they can support your company's various business goals. But new features and improvements are constantly being launched. The investments we make are based on the needs of our customers and their end-customers, changes in the market, and ideas from employees in our internal innovation hub.

Two important principles for product development at Billogram are that all new functionality follows the direction we want our product to have, and that it should benefit all or most of our customers.
"We know from experience that specific solutions for individual customers rarely receive enough attention over time, as maintenance becomes difficult to justify when few customers use them. Of course, we also want to be a democratic partner who listens to all our customers and equally considers their interests." – Jens Ganslandt, Chief Product Officer
What are the plans moving forward? According to CPO Jens Ganslandt, Billogram is focusing on, among other things, expanding the platform's presence in more European markets, as well as further personalizing the payment experience. Automation is another critical focus area:
"We see great opportunities in using AI and machine learning to capture and handle questions related to invoices or payments. In the long run, we also believe we can automate more routine tasks for customer service or the finance department, so that our customers' employees can dedicate themselves to more value-creating activities within the company."
